Electronic Records Management

The type of modern information has been divided into electronic and physical information. The institutional structure should control these types of data in their entire lifecycle despite the source and the format for delivery through diverse channels that might involve web interfaces and cell phones. Information management is the collection and control of information from one or several sources. Organizations use various methods to keep the information, including the use of electronic records management systems. Therefore, the paper will try to focus on issues associated with the use of ERM, the four V’s of data analytics, and functions of a database.

Why an ERM is a Senior Management Issue

The administration and utilization of the electronic records management system are categorized as a senior management problem because it needs full organization’s adherence to its consumption. Its standardization processes require it to be in the form of corporate policy with regulations designed in an electronic file scheme. Big industries with large files of documents frequently outsource these systems’ development, preferably to big tech companies; this will need senior leadership expertise to effectively control all phases of this development and maintain a clear inclusion of the company’s vision in the agreement. Streamlining these systems still needs the management and leadership help whenever any form of delays occur (Shonhe & Grand, 2019). Therefore, these reasons explain why the electronic records management system’s control is categorized as a senior management problem and not simply an information technology issue.

The four V’s of Data Analytics

In most big data cycles, there are four V’s: volume, velocity, variety, and veracity. Velocity describes the speed with which information is generated. Any high-velocity data is retrieved at such a pace that it needs distinct process mechanisms. On the other hand, variety makes big data really big since they originate from a massive variety of sources, and frequently, one of the three types engage unstructured, structured, and semi-structured. The variety of data types needs distinct processing efforts and specialist algorithms (Mohanty, 2015). An example of big data sets engages CCTV audio and video files retrieved at different city locations. Veracity refers to the quality of the information being analyzed. Big veracity data has several significant records to analyze and that contribute to a meaningful process to the general outcome. Low veracity data normally has a high degree of meaningless data. Lastly, the volume describes the size of the information set, which ought to be analyzed and processed.

Primary Functions of Database and Data Warehouse

A database is considered a repository for information retrieved from applications, sensors, operations, and user inputs, among other areas. Information within databases is normally volatile unless effectively managed through the application of database management systems. The well-known forms of databases are in products such as Excel. On the other hand, data warehousing retrieves information from several databases across an institution and controls it for difficult evaluation to sustain decision making and comprehension control (Price et al., 2015). Since the information is filtered and processed, it is normally viewed as non-volatile and is set for examination. Current enterprises store and process different sets of big data, and they can utilize the information in various ways, thanks to tools such as data warehouses and databases. Databases keep transactional information, making it available to end consumers and other systems. Data warehouses aggregate information from databases and other sources to form one repository, which can serve as the basis for complicated reporting and analytics.
