This is a proposal paper for a business , introduction to systems management. 3011
After covering the first part of the project and obtaining feedback from your peers, you are tasked to complete the last part of the proposal. You are now responsible for the following areas:
1. Proposed program/system/process that could address the issue. Look for third party solutions if possible.
If a company can provide you with the solution to the problem, make sure to mention why you think that’s the case.
Make sure to also list the company’s track record. Have they had experience working on something like this before?
Vendors don’t like to get requests that don’t lead anywhere. Try, if possible to obtain the information from their website.
2. Potential risks involved in the execution of such project.
Think of possible scenarios that could affect the implementation of your project, i.e. budget constraints, lack of time, pushback from the stakeholders.
Some risks are unavoidable but could be mitigated. Try and find possible alternatives if such events were to happen.
Conclusion.
3. Think of this section as your closing argument, as to why this proposal would be the best option for the company to take.
Focus on items like improved daily workflow, possible long term financial savings, etc.
Proposals typically get sent to a financial office/owner, who for the most part will just understand the monetary gain from the project, thus, try and keep it as simple as possible.

ANSWER
Proposal to Acquire a New System
Proposal to Address Issue
Managing a shipping company can no longer be sustained by a system that relies on emails and telephone calls, and it is the reason the company has to consider the acquisition of a new Transport Management System (TMS). The company has never faced such an issue before, and therefore the project will be completely new to the management. For consideration, TMS should be easy, efficient, and effective communication of logistics between various parties, ensure timeliness and accuracy of information between members and ensure both physical security of shipments and financial security seeking to secure parties from possible shipment period losses (Joc.com).
Considerations when looking to come up with a new TMS system for the company has to address several components. The first one is the movement of products where products must move in a method that is consistent with the business model, whether it is towards customer service, cost reduction, or lower inventories. The system-aided movement must be flexible with the ability to forecast potential issues and resolve them promptly (Apostolopoulos et al., 2016). Secondly, the movement of information requires that at any given point, the company and the clients are aware of where the products are. In times when critical action is required, for instance, mechanical failures, both parties must receive real-time notifications from the system, especially when the products in question are perishable. Thirdly, the time and service of the system where it has to possess the ability to grow and adapt to changes in the technological environment such as machine learning and artificial intelligence. The fourth consideration is the cost, which is vital. However, sometimes, minimizing cost can “sub-optimize the effectiveness in satisfying its customers” (Apostolopoulos et al., 2016). Lastly, are integration capabilities referring to the integration with the company employees and other information systems already in place such as databases, payroll, and financial management systems.
The proposed overhaul TMS system directly links to their transporters’ systems to more efficiently identify and find potential routes, ensures shipments are scheduled in the system eliminating phone and email use, possess a time schedule feature where time schedules can be made with a single point of contact eliminating phone and email use and provides real-time information sharing with all customers as well as potential carriers. Through the acquisition of this new TMS system, the company will be at the receiving end of technological advantages putting the business at the forefront of customer satisfaction yet again. The main goals for the company at this point are efficiency, accuracy, timeliness, security, and reduction of losses, which only a new state of the art software systems can assure.
Risks of Execution of such a Project
The acquisition of the new TMS system has two major risks. Any digital system is prone to a system failure that could halt the business, potentially resulting in significant financial losses, which is similar to all businesses and the increasing risk of unauthorized users such as hackers looking to steal information for their own malicious intentions.
Conclusion
This proposal would be the best option for the company to take. It ensures an improved daily workflow and promises long-term financial savings. Updates will be made every other day to ensure suitability, and a complete user acceptance test will ensure that it is compatible with the employees.
